Healthcare For Women By Women

Thank you for choosing Associates in Women’s Healthcare for your medical needs. As a woman-only physician practice, we strive to provide the highest level of care in a compassionate and convenient setting. We’re not only concerned with your gynecological health; we want to safeguard your overall health through annual well-woman exams and cancer screenings.

Not only do we want to empower you to make the best decisions concerning your health care, but we want to make it as convenient as possible. Therefore, we’ve provided the following useful patient information:

How to Schedule an Appointment

Please request appointments through the Patient Portal.  Our schedules are usually open up to three months in advance.

Direct online scheduling is available to established patients for annual physicals.  If you need another type of appointment or don’t see what you are looking for select the OTHER option and send a request.  We prioritize portal scheduling and will respond promptly.   For urgent needs, please call 919-876-9797 during normal business hours.

Before Your Visit

Advanced registration is required and we need a copy of your CURRENT insurance card.  Failure to complete the health history and appointment forms prior to your appointment time may result in rescheduling.

Please complete the online registration as soon as you receive the link.  This communication will be sent to you up to three (3) days prior to your appointment, through Phreesia, our patient intake management solution. This quick and simple process allows you to complete the health history and required forms at a convenient time using your mobile device or computer.  It streamlines check in and helps us stay on schedule.

Rescheduling and Cancellations

If you must cancel or reschedule an appointment, please provide at least a 24 hour notice.  No shows and improper notice will result in a fee of $75 for regular appointments and $150 for multi-resource appointments.  We request at least a 10 day notice to cancel/reschedule an in-office procedure or hospital surgery.  The fee for improper notice in these cases is $250.00

Telehealth

We offer telehealth services for established patients.  Telehealth is an easy and efficient way to connect virtually with your physician without coming into the office.  All you need is a smart phone or other device with a camera.

Telehealth links are located on the CONTACT US page of this website.  If you have an appointment, click on the appropriate link or type it into your browser a few minutes before your appointment.  Once your provider sees that you have signed into the virtual waiting room, she will call you to start the visit.

Hospitalization and Emergencies

In the event of a life-threatening emergency, call 911.

All hospital-based procedures, surgeries and deliveries are performed at UNC Rex Healthcare’s Women’s Center.

If you have an urgent medical problem after office hours, please call our main office number 919-876-9797 to reach our on-call physician. Please speak slowly and answer all prompts. Call back if you have not heard from a physician within 30 minutes.

Our after-hours service provides direct access to the on-call physician, not a nurse or medical assistant. Physicians are on call to handle medical emergencies only. Please send appointment and prescription requests through the patient portal.

Insurance and Billing

Bring your CURRENT insurance card, picture ID and valid credit card to your appointment. Failure to present this information may result in rescheduling.

Our providers are contracted with most major insurance carriers. We will file a claim for you with your insurance company, but require that a credit card be placed on file to be used for the portion your insurance requires you to pay after your claim has processed.  Co-pays, deductibles and co-insurance are due at the time of service.

Please pay the balance online through the Patient Portal .It is our policy to collect past due balances prior to scheduling or providing routine services. Statement charges and late fees may be applied to past due balances.  If you have a problem paying your bill, please contact our patient account representative. Payment plans are available if made in advance. We are always willing to work with anyone who shows good faith in meeting financial responsibilities.

If you have questions about your benefits or network, please contact your insurance carrier. Lab work is billed by the reference laboratory. Refer to your invoice to obtain their contact information.

There is a $35 fee for returned checks and failed credit cards.

Prescription Refills

Please try to anticipate the need for medication refills. Refill requests should be made at least one week before your medication runs out. The most expeditious method to obtain a refill is to call your pharmacy first

The pharmacy will submit an electronic request to your physician with all the details required for processing. This will reduce wait time and phone tag between you, our office and the pharmacy.  Please allow 48 hours for your request to be processed and then check with your pharmacy.

Test Results and Referral Appointments

You will find your test results in the Patient Portal as soon as they are available. A physician will contact you by telephone if there is a concern or abnormal result. Some test results will be reviewed by a follow-up appointment.

Our clinical staff will coordinate and assist you with referral appointments. Please respond promptly to any Patient Portal messages regarding referral appointments.

Medical Records

The patient portal provides easy access to your medical information. From the home page of the Patient Portal , please select the My Health tab to review or download and print your Visit Summaries, Test Results, Medication Lists, Vitals and Medical History.

If you require additional information, please complete the Authorization for Release of Medical Information. Please notice the explanation at the bottom of the release form which outlines the fee for this service.
