Healthcare For Women By Women

Thank you for choosing Associates in Women’s Healthcare for your medical needs. As a woman-only physician practice, we strive to provide the highest level of care in a compassionate and convenient setting. We’re not only concerned with your gynecological health; we want to safeguard your overall health through annual well-woman exams and cancer screenings.

Not only do we want to empower you to make the best decisions concerning your health care, but we want to make it as convenient as possible. Therefore, we’ve provided the following useful patient information:

How to Schedule an Appointment

Schedule online by accessing the  Patient Portal or calling 919-876-9797 during normal business hours. Same-day appointments are available for urgent needs.

Three days prior to your appointment, we will send on-line forms through Phreesia, our patient intake management solution. This allows you to complete these forms from the convenience of your mobile device or computer.

Our hours of operation are 8 a.m. to 4:30 p.m. Monday through Thursday and 8 a.m. to 1:30 p.m. on Friday.

Rescheduling / Cancellations

We ask that reschedules and cancellations are made as far in advance as possible. However, we do require at least 24 hours’ notice for a canceled appointment. We reserve the right to charge $75.00 for missed appointments or same-day cancellations/reschedules.

For procedures, we must have more than two weeks’ notice for a cancellation or reschedule. There is a $150.00 charge for rescheduling or canceling surgeries with less than two weeks’ notice.

Before Your Visit

We ask that you check in online prior to arrival. This quick and simple process allows you to complete the health history and required forms at a time that is convenient for you. Advanced registration will simplify your check-in and will help keep everyone on schedule.

We offer telehealth services for established patients.  Telehealth is an easy and efficient way to connect virtually with your physician without coming into the office.  All you need is a smart phone or other device with a camera.  Request a telehealth appointment online or call us to schedule.

Telehealth links are located on each physician’s page.  If you have an appointment, click on the link or type it into your browser a few minutes before your appointment.  Once your physician sees that you have connected, she will call you to start the visit.

Hospitalization and Emergencies

In the event of a life-threatening emergency, call 911.

All hospital-based procedures, surgeries and deliveries are performed at UNC Rex Healthcare’s Women’s Center.

If you have an urgent medical problem after office hours, please call our main office number 919-876-9797 to reach our on-call physician. Please speak slowly and answer all prompts. Call back if you have not heard from a physician within 30 minutes.

Our after-hours service provides direct access to the on-call physician, not a nurse or medical assistant. Physicians are on call to handle medical emergencies only. Please send appointment and prescription requests through the patient portal.

Insurance and Billing

It is very important for you to bring your current insurance card, a picture ID and a valid credit card to your appointment.

Our providers are contracted with most major insurance carriers. However, we recommend that you contact your insurance company prior to your appointment if you have questions about your benefits or network.

We will file a claim for you with your insurance company, but require that a credit card be placed on file to be used for the portion your insurance requires you to pay after your claim has processed.  Co-pays, deductibles and co-insurance are due at the time of service.

It is our policy to collect past due balances prior to scheduling/providing routine services. Statement charges and late fees may be applied to past due balances.  If you have a problem paying your bill, please contact our patient account representative. Payment plans are available if made in advance. We are always willing to work with anyone who shows good faith in meeting financial responsibilities.

We accept cash, checks, money orders, MasterCard and VISA. You may also pay your bill online via the patient portal. There is a $35 fee for returned checks and failed credit cards.

Prescription Refills

Please try to anticipate the need for medication refills. Refill requests should be made at least one week before your medication runs out. The most expeditious method to obtain a refill is to call your pharmacy first

The pharmacy will submit an electronic request to your physician with all the details required for processing. This will reduce wait time and phone tag between you, our office and the pharmacy.  Please allow 48 hours for your request to be processed and then check with your pharmacy.

Test Results and Referral Appointments

You will find your test results in the Patient Portal as soon as they are available. A physician will contact you by telephone if there is a concern or abnormal result. Some test results will be reviewed by a follow-up appointment.

Our clinical staff will coordinate and assist you with referral appointments. Please respond promptly to any Patient Portal messages regarding referral appointments.

Medical Records

The patient portal provides easy access to your medical information. From the home page please select the My Health tab to review or download and print your Visit Summaries, Test Results, Medication Lists, Vitals and Medical History.

If you require additional information, please complete the Authorization for Release of Medical Information. Please notice the explanation at the bottom of the release form which outlines the fee for this service.
